Four stages of dispute management:

  1. Retrieval- Cardholder has requested a copy of their receipt to determine whether the transaction is legitimate.
  2. Chargeback- Cardholder has requested their money back on a transaction.
  3. Pre-arbitration- This is when you can provide extra documentation like proof of purchase, info about the shopper, proof of delivery and more.
  4. Arbitration- The issuer is not satisfied with the original rebuttal documents and requested a continuation of the dispute.

Demystifying the documentation process.

Disputes usually start with a Request for Information (RFI) or Notification of Chargeback (NOC). If you happen to receive an RFI, you typically have 24 hours to respond by uploading the proper documents from within your merchant portal. If you receive and NOC you have a bit longer- usually 40 days. During this time you can frame your rebut or respond to chargebacks by providing the following:

  • Proof of purchase.
  • Proof of delivery or order fulfillment.
  • More details (phone number, IP address, etc)
